Memberships let your organization sell and manage membership tiers, each with its own pricing, billing interval, and benefits. Everything lives under Membership in the sidebar. This walkthrough covers building tiers, the discounts that encourage renewal, offer codes, and the public member directory.
What memberships covers
A membership tier defines what a member pays, how often they pay it, and what they get. Beyond the tier itself you can offer discounts for auto-renewal, extend member discounts into your gift shop, run offer codes against specific tiers, and publish a directory of your members.
Managing the members themselves — the member list, and recording registrations that did not come through an automated path — is covered in Managing members.
Membership Settings: creating and editing a tier
Where to find it. In the sidebar, open Membership → Membership Settings.
This is where you create a new tier or edit an existing one. Each tier appears as a card. When you have finished editing, click Update tier to save your changes.
Tier name, description, and benefits
- Tier name — public facing. This is what your donors see.
- Description and benefits — a rich text field, so you can use headings, numbered and bulleted lists, bold, italic, and underline to lay out what the tier includes.
Rank, ordering, and upgrade eligibility
Rank controls the order your membership tiers appear in on public donation forms.
Rank also drives upgrade eligibility, if you enable it for your organization. A member on a tier ranked 2 can upgrade to a tier ranked 3, because the higher rank is the more expensive tier. They cannot move the other way — rank 3 down to rank 2 is not an upgrade, so it is not permitted.
Base price, currency, and billing interval
- Base price and currency — PineconeAI currently supports US dollars.
- Billing interval — daily, weekly, monthly, or annually.
- Interval count — how many of those intervals make up one term. An annual membership with an interval count of 1 bills every year; set it to 2 and it bills every two years.
Auto-renewal and renewal discounts
Allowing members to auto-renew is strongly recommended — it is one of PineconeAI's revenue optimization features.
With auto-renewal enabled, you choose a discount type:
- Percentage — for example 10% off for that tier.
- Fixed amount — a set figure off the price.
- None — no renewal discount, but the tier is still eligible for auto-renewal.
Retail discounts for members
You can extend a member discount into your gift shop, whether that is in person or an online store. Retail discounts are set as a percentage only — a fixed amount is not available for retail. Setting up the catalog itself is covered in Retail.
Allowing monthly payments on an annual membership
Turn on allow monthly payments to let a member spread an annual membership across twelve months. The monthly price is calculated automatically from the annual price, and the member is billed in twelve equal installments across their membership period. Their membership stays active for the whole term.
Offer codes: what they do
An offer code applies a discount to specific membership tiers. Each code shows its discount type and value, the tiers it applies to, how many times it has been redeemed against its limit, its validity window, and its status.
Building an offer code
- Discount — a fixed amount off, or a percentage off.
- Applies to — all membership tiers, or only the tiers you choose.
- Max redemptions — leave blank for unlimited, or cap it at any number.
- Validity window — calendar dates for when the code becomes usable and when it stops working.
- Campaign — optionally tie the code to a campaign.
- Internal note — visible only to staff. Useful for recording when and why the code was created.
The membership directory
The membership directory publishes a list of your members. It is particularly useful for chambers of commerce, and for any non-profit that wants to showcase its members.
Being listed is opt-in at the individual member level, but only once your organization has switched the directory toggle on.
Directory settings: title, grace period, and badges
- Page title, and an optional introductory text block.
- Grace period — how many days a lapsed member stays visible in the directory before dropping off.
- Community badge — optionally show each member's tier on the public directory, so a Super Fan, Golden Legacy, or Friend level is visible.
Hosting or embedding the directory
PineconeAI hosts the directory at its own link, so you can simply point people there. Embedding it in your own website is the better option — that way prospective, new, and existing members never have to leave your site. The embed code snippet and a QR code for the directory are both provided.
Categories and custom fields
Under categories you list the categories a member can select from.
Custom fields collect anything else you need. For each field you set the label, optional help text, the field type (short text, long text, multi-select, and others), whether it is enabled, whether it shows on the public directory, whether it is required, and any placeholder text. Add custom field creates a new one.
Listings, featured members, and member self-editing
The listings page shows everyone set up for the directory. From here you can mark a listing as featured, and edit a listing directly as a staff member.
Members can also edit their own listing through the customer portal, including any custom fields you have enabled.
Each listing has its own toggle for whether it appears publicly, so an individual member can be shown or hidden on top of the organization-wide directory setting.
