The member list is every membership on record — who joined, at what level, whether they covered the processing fees, and whether the membership renews itself. This walkthrough covers reading that list, converting or cancelling a membership, and recording one that came in offline.

The member list
Where to find it. From your dashboard, open Membership. You land on the member list.
Each row shows the member's name, their contact email and phone number, and the membership level they joined at.
Fees covered, and why manual memberships differ
For memberships processed online — the bulk of them for most organizations — the list shows whether the member chose to cover the processing fees. It is a quick read on how your donors are showing up and supporting you.
Manual memberships, entered through a manual registration for a cash or check transaction taken offline, have no fee coverage option at all. There are no processing fees to cover.

Auto-renewal at a glance
The list shows whether a membership is set to auto-renew, and what it will renew at.
Dates, listing name, and payment account
Moving right, each row also carries the membership's start and expiry dates, an auto-renew tag, the listing name if the donor chose one, and the payment account the transaction was deposited to.
The listing name is how a member wants to be listed anywhere your organization shows its members. They can be listed under a family name, as an individual, as multiple individuals, or at an organizational level if you offer that.
Gifted memberships
Where a membership was gifted, the list shows the tier, the purchasing member who gave it, and the member who received it.
Membership statuses
Active, expired, and cancelled memberships are all visible in the list.
Converting an auto-renewing membership to manual
A donor can always update their auto-renewal directly, or you can convert the membership to manual. Converting to manual automatically stops the auto-renewal running through PineconeAI's billing infrastructure via Stripe. It is also what lets you set the start and expiry dates yourself.
Cancelling: at period end or immediately
Cancelling a membership gives you a choice:
- Cancel at period end — the usual choice. The membership simply stops renewing when the current period finishes.
- Cancel immediately — for when the membership has to end now, typically alongside a refund processed separately.
Keep membership backs out without changing anything.
Recording a manual membership
Choose record manual membership, then start typing the donor's details. If the donor is already listed and active in the system, entering their information and clicking the magnifying glass lookup pulls their record through — name, phone, and address where you hold it. If there is no address on file, enter one here.
Gift memberships and choosing the tier
A manually recorded membership collects exactly the same information as one entered through the online portal. That includes whether it is a gift membership and, if so, the recipient's details, so a notification can be sent to the person receiving it.

Complimentary memberships
Mark a membership complimentary when you want to comp it — typically for a VIP, or a major donor already supporting you in other ways.
A complimentary membership is recorded at zero value with no payment collected. By default no receipt email is sent, on the basis that you will be communicating with that donor another way.
Payment amount, start date, and payment method
For a membership that is not complimentary, set the payment amount, then choose when the membership begins — today by default, but you can set a date in the past or in the future. Then set the listing name and the payment details: cash, check, bank transfer, or other.
The receipt email
Whenever you create a manual membership, send receipt email defaults to on, so the donor receives a record of the membership being entered. Switch the toggle off if you do not want it sent.
Searching, importing, and exporting
Search the member list by name, by part of a name, or by any other value in the table. The search behaves the same way across every table in PineconeAI.
You can import members, and export the membership list as CSV, JSON, or Excel. The membership list can also be set up as a scheduled report and emailed to you.
